The General Sir John Monash Foundation ( GSJMF )
respects and is committed to protecting individuals'
privacy. GSJMF's approach is guided by the 10 National
Privacy Principles and the 11 Information Privacy Principles
set out in the Privacy Act 1988 (Cth) ( Privacy
Act ), as well as the principles governing the
collection, handling and use of health information set
out in relevant State health privacy legislation. Where
appropriate, GSJMF has adopted an approach, which is
consistent with the exemptions to the Privacy Act and
other relevant State health privacy legislation, including
in respect of employee records.
This statement sets out how GSJMF collects, holds and
uses personal information in the conduct of its business.

Information that GSJMF holds |
| |

GSJMF or its agents collect personal information in
order to provide and promote GSJMF's services, particularly
those associated with the General Sir John Monash Awards.
Generally, if appropriate, GSJMF will take reasonable
steps to tell individuals when it collects personal information
about them and will also tell them how GSJMF plans to
use the information.
In general, GSJMF collects personal information such
as name, address and telephone number. GSJMF also collects
personal information such as educational details including
academic history and achievements, details of personal
skills including communication skills, initiative and
leadership qualities, and financial details from individuals
applying for a General Sir John Monash Award. GSJMF collects
employment history and other employment related details
from prospective employees, contractors and consultants.
GSJMF may also collect 'sensitive information'. Sensitive
information includes information relating to racial or
ethnic origin, political opinions, philosophical beliefs,
membership of political, trade or professional associations,
sexual orientation, and criminal records, as well as
health information. GSJMF will generally obtain individuals'
consent to collect and use sensitive information.
GSJMF may collect information about individuals from
other sources eg. Referees, educational institutions
or other scholarship programmes. GSJMF may also collate
information about individuals, which is received from
others, including public sources, with the information
it has obtained directly from the individual. If GSJMF
does get information from others, it will take reasonable
steps to make sure the individual is aware it has collected
or may collect information of that type or from that
source unless the individual has already authorised that
source to give GSJMF the information.

Use and disclosure of Personal Information

GSJMF uses personal information to provide and promote
its services in relation to the General Sir John Monash
Awards and other relevant programmes, and to fulfil administrative
functions associated with those services, including:

Assisting individuals to apply for and undertake
a General Sir John Monash Award; |

Assessing applications for a General Sir John Monash

Assisting individuals to further their careers after
completing their studies under a General Sir John Monash
Award; |

Engaging an individual in or supporting their involvement
in the General Sir John Monash Awards Alumni Association; |

Promoting the General Sir John Monash Awards and the
General Sir John Monash Foundation; |

GSJMF also uses personal information to assess applications
for employment or engagement with GSJMF and for other
associated purposes.
Individuals are not required to provide GSJMF with any
personal information when visiting GSJMF's Website. When
an individual visits GSJMF's Website, or downloads information
from it, GSJMF's Internet Service Provider Kryptonet
Pty Ltd records the visit and records the following information:
the person's internet address, domain name if applicable,
the date and time of their visit to the Website, the
pages they access and the documents they download, the
previous Website the person has visited and the type
of browser the person is using . It is automatic server
logging and is not shared or distributed in any way,
however, it is used to generate summary reports for server
performance and site traffic. It is not linked to users
personal information in any way. The information is used
only for statistical and Website development purposes.
The one exception to the above is that when the Award
application forms are available a user may request that
they be emailed. Their email address is requested to
perform this task, however, once the email is sent the
information is not stored, other than standard server
logging, as mentioned above.
The Website does not use cookies or session variables.
GSJMF may share personal information with consultants
engaged by GSJMF to assess applications for the General
Sir John Monash Awards and with educational institutions,
which applicants for General Sir John Monash Awards attend
or propose to attend. These may be located in Australia
or overseas. GSJMF may also disclose personal information
to service providers and to its strategic partners from
time to time to help it provide and promote its services.
This includes GSJMF's sponsors and other scholarship
programmes, some of which may be located overseas. If
GSJMF does this, it generally requires these parties
to protect personal information appropriately.
GSJMF may also be required to disclose personal information
where the law requires such disclosure.

Security of Personal Information

GSJMF has taken reasonable steps to ensure the security
of personal information that it holds, regardless of
the form in which that information is held. This includes
taking reasonable steps to prevent the misuse or loss
of this information, or unauthorised disclosure, access
to, or modification of this information.

Right of Access by the Individual

Individuals have certain rights of access to personal
information that the General Sir John Monash Foundation
holds about them. GSJMF will assess any access request
consistently with the access provisions (including exemptions)
of the Privacy Act and other applicable privacy
laws. Access may be denied in some circumstances, but
where this is the case GSJMF will tell the person why.
